Jazz Call Accounting

Every call rated, posted and accounted for.

Every call made from your property carries a cost, and some carry a risk. Jazz Call Accounting captures each one as it happens — guest, administrative, convention or tenant — rates it against your bill plans, posts it to the folio and keeps a full record you can report on. It also watches for fraud, and tells your team the moment someone dials 911 or misses a wake-up call.

Designed for both independent hotels and large chains. Fully hosted and managed. Cloud, premise or hybrid PBX. With a PMS, or without one.

Why call accounting

Not just for guest call pricing.

SIP trunks and cloud bundles have made domestic calling cheap, and some properties assume call accounting went with it. It didn't. International calls, premium destinations and toll fraud are still some of the most expensive items on a hotel's telecom bill — and without a call accounting system, nobody can say who made them.

Meet the brand standard

Many hotel brands require a certified call accounting system as part of their guest offering. Jazzware is certified by the major hospitality brands and has been a named brand standard for more than two decades.

Recover the cost of every billable call

Without call accounting, a guest can dial internationally from the room and the property pays the carrier with nothing to recoup it. Blocking international dialling solves the cost but frustrates guests without worldwide mobile coverage. Jazz Call Accounting lets you allow the call and bill it fairly.

Know where every call came from

When something goes wrong — a guest is phished for card details, or the carrier bill spikes — you need the call record. Jazz Call Accounting shows whether a call came from a guest room, an admin extension, a transferred outside caller, the IVR, or a compromised voicemail box.

Keep guests and staff safe

The same call stream that feeds billing also triggers emergency and operational alerts. A 911 call or a missed wake-up call reaches the right people within seconds, by phone, SMS, email and desktop pop-up.

Key benefits

More than call accounting.

Jazz Call Accounting does everything a hotel expects of a call accounting system — costing calls, posting charges, reporting on activity. It is also the part of the Jazzware platform that turns the call stream into revenue, protection and insight.

Fully hosted, fully managed

No server, operating system, interface or rate table to maintain on property. Jazzware runs the platform, keeps rates current and ships new features through routine upgrades.

Personalised from the PMS

Guest type, group code, VIP status and loyalty tier come across from the PMS, and the right bill plan is applied automatically. Your best guests and your conference delegates get the pricing you intended, without anyone re-keying it.

One interface instead of three

Used with JazzFusion, call records, PBX telemanagement and voicemail control share one certified PMS interface rather than three. Fewer interfaces to license, test and support.

One property or two hundred

Manage every property from a single system, with multi-user, multi-language web access and reporting by property, division, department or extension.

Use cases

Where call accounting earns its place.

Most of the value shows up on the day a question needs answering.

The carrier bill spikes

International calls are appearing overnight. Jazz Call Accounting traces them to a single back-of-house extension between 10pm and 7am on weekdays — so you know who to talk to, and whether it is misuse or fraud.

A guest reports a suspicious call

A caller claiming to be the front desk asked for card details. The call record shows where it originated — another room, an outside line transferred in, or a compromised voicemail or IVR — and our team helps you trace it.

A conference checks in

Phones, DID lines, speakerphones and projectors are reserved against the group, and every call from its extensions is billed to the group account on the schedule you choose.

Moving to cloud PBX

The PBX changes; your bill plans, reports and alerting don't. Properties on premise and properties on cloud run on the same call accounting, for as long as the transition takes.

How it works

Captured at the property, managed from the cloud.

01

Connect the PBX and PMS

The Jazzware Edge ESB appliance is installed at the property and connected to your PBX call records and PMS through certified interfaces. Cloud PBX platforms such as BroadWorks connect directly.

02

Set your bill plans and alerts

We configure rate plans by jurisdiction, guest-centric pricing rules, fraud thresholds and alert recipients to match your brand standard and property policy.

03

Rate, post and report

Calls are rated and posted to the folio automatically. Staff review activity, run reports and manage alerts in the Jazzware Portal, while the Jazzware NOC monitors every interface.

What's included

What's included with Jazz Call Accounting.

Every capability is built for real hospitality operations — deployed across cloud, hybrid or premise environments.

Real-time call costing

Incoming, outgoing and internal calls are captured and rated as they happen, giving you up-to-the-minute telecom information on demand. An online call coster lets staff quote a call's price before it is made.

Automatic folio posting

Rated guest calls post straight to the PMS folio. Extensions and trunks are created automatically when they first appear, so no call goes unposted, and calls buffer and recover if the PBX or PMS link drops.

Unlimited bill plans

Build as many surcharge schemes as you need — flat fee, percentage surcharge or timed rates, set per jurisdiction from local to international. Rate tables are maintained by Jazzware, not by your team.

Guest-centric pricing

Assign bill plans automatically by guest type, group code, VIP status or loyalty tier, and extend the same targeting to HSIA packages. Offer event delegates or loyalty members a rate that suits them.

Fraud and abuse alerting

Set thresholds by call duration, call charge or destination country, and get alerted the moment one is crossed. Drill down into any call to see its cost and routing.

911 and wake-up alerting

Staff are notified by phone, SMS, email and desktop pop-up when an emergency call is placed or a wake-up call goes unanswered. On supported premise PBXs, 911 alerts fire when the call is dialled — not after it ends. Phone alerts repeat until someone acknowledges them.

Event and convention billing

Reserve extensions and equipment for a group, check availability on a calendar, generate quotes and invoices, and post call usage and equipment charges to the group account — daily, at group checkout or at the end of the event.

Audit-ready reporting

Report by property, division, department, building, trunk, bill plan, extension or authorisation code. Schedule reports daily, weekly or monthly, and email or export them to Excel.

Centralised management

One multi-language web portal for every property, with role-based multi-user access. The same portal handles name display, phone restrict and un-restrict, voicemail activation and wake-up calls through JazzFusion.
